Chapter 13

Common questions

Quick answers to the questions people ask most.

I saved an asset but it isn't on the books.

It needs to be approved. Check its status: Draft (not yet submitted; open it and click Submit for approval) or Awaiting approval (an approver needs to approve it).

I made a mistake in an asset that's already been approved.

Descriptive details can be fixed with Edit. For cost, dates, class or depreciation, use Record a change. Cost adjustment or Depreciation change, with Apply from now on unticked, corrects it from the start.

Why is this month's depreciation different from last month's?

Look at the catch-ups on the close page: a late addition, a back-dated disposal or a correction. Open the asset to see its ledger.

The Close button is greyed out.

Either the month hasn't ended yet, or something for that company is waiting for approval. The message at the top of the page says which.

Why can't I approve this?

Either you prepared it yourself (someone else has to approve it), or you don't have the Approver role.

I can't see a company.

Ask the administrator to give you access to it in Setup โ†’ Users.

A report shows "(no account set)".

The asset class or company is missing a GL account. An administrator can add it in Setup.

The import says a class isn't matched.

Choose the right class for each category in the Classes box and preview again. If the class doesn't exist yet, ask the administrator to add it.

Can two people work at the same time?

Yes. Just avoid editing the same asset at the same moment: whoever saves last wins.

How do I get a copy of everything for our records?

Download the asset register and rollforward to Excel each year-end. The server also backs up the whole database every night and keeps 30 days.

For the administrator: server commands

A few tasks are done on the server by whoever manages it, using the command line:

TaskCommand
